Switching from TrueCoach takes about a week for most solo coaches: pull together your client roster first, rebuild your active programs in TrainerPanel's program builder rather than relying on an export, set up any recurring payment subscriptions fresh since billing doesn't carry over between platforms, then invite clients to your new Coach App with a short heads-up message. Nothing about the switch has to be dramatic if you do it in that order.

Should you switch?

TrueCoach prices by which named client-count tier you're in — cross a boundary and your bill jumps to the next one — and it takes a cut of what you earn on top of the subscription, though the exact percentage is disputed across its own sources. That combination is the usual reason coaches start looking.

The switch itself is not the hard part. Forgetting to export something before you cancel is the hard part. Do the steps in order below and neither happens.

What to export before you cancel

Three things to pull together before you cancel anything — miss these and you're rebuilding from memory instead of from a file:

  • Clients. Pull together your client list — name, email, and whatever tier/status fields TrueCoach shows you. This becomes your TrainerPanel roster import.
  • Programs. TrueCoach's program and workout builder is one of its core strengths, but bringing that content over is still a manual step — note down your active programs' structure (weeks, exercises, sets/reps) so you can rebuild them quickly in TrainerPanel's program builder rather than starting from scratch.
  • Payment subscriptions. The sticky one. Recurring billing set up through TrueCoach doesn't carry over — note who's on what recurring plan so you can set up the equivalent in TrainerPanel and ask them to resubscribe. It's also a clean moment to leave TrueCoach's payment-fee question behind: its own help center describes a flat 5% fee per transaction, while its marketing page advertises payments as free — the two disagree and we couldn't resolve it from public sources. One week, in order

The 7-day switch plan

  • Days 1-2 — gather & import. Pull your client list from TrueCoach; import it into TrainerPanel's roster. Checklist: name, email, active/inactive status, current tier.
  • Days 3-5 — rebuild active programs. Recreate the programs your current clients are actively running — not your entire historical library, just what's live today. Checklist: weeks, exercises, sets/reps, any nutrition or habit components.
  • Day 6 — set up payments. Recreate any recurring membership or session package so billing continues cleanly once clients move over — and leave TrueCoach's payment-fee question behind in the process.
  • Day 7 — invite clients & go live. Send the message template below, invite everyone to the Coach App, and set your TrueCoach cancellation date a few days after — not the same day, in case anyone needs a hand.

Telling your clients

Clients don't need the backstory — they need to know what to do and that nothing about their program is changing.

Copy-paste template

"Hey [name] — I'm moving our coaching over to a new app called TrainerPanel this week. Same programs, same check-ins, just a nicer app. You'll get an invite by [date] — takes about 2 minutes to set up. Nothing else changes on your end. Questions, just ask!"

Send it once, a few days before the Coach App invite goes out — not the same day as the invite itself, so it doesn't read as a surprise.
