Switching from Trainerize takes about a week for most solo coaches: export your client roster first, rebuild your active programs in TrainerPanel's program builder (Trainerize has no universal one-click export), set up any recurring payment subscriptions fresh since they don't transfer automatically, then invite clients to your new Coach App with a short heads-up message. Nothing about the switch has to be dramatic if you do it in that order.
Should you switch?
Trainerize prices per active client in tiers, so the bill climbs every time your roster grows — that's the usual reason coaches start looking.

The switch itself is not the hard part. Forgetting to export something before you cancel is the hard part. Do the steps in order below and neither happens.
What to export before you cancel
Three things to pull before you cancel anything — miss these and you're rebuilding from memory instead of from a file:
- Clients. Export your client list — name, email, and whatever plan/status fields Trainerize offers. This becomes your TrainerPanel roster import.
- Programs. Trainerize doesn't offer a universal one-click program export — screenshot or note down your active programs' structure (weeks, exercises, sets/reps) so you can rebuild them quickly rather than from scratch.
- Payment subscriptions. The sticky one. Recurring billing set up through Trainerize doesn't carry over — note who's on what recurring plan so you can set up the equivalent in TrainerPanel and ask them to resubscribe.
The 7-day switch plan
- Days 1-2 — export & import. Pull your client list from Trainerize; import it into TrainerPanel's roster. Checklist: name, email, active/inactive status, current plan.
- Days 3-5 — rebuild active programs. Recreate the programs your current clients are actively running — not your entire historical library, just what's live today. Checklist: weeks, exercises, sets/reps, any nutrition or habit components.
- Day 6 — set up payments. Recreate any recurring membership or session package so billing continues cleanly once clients move over.
- Day 7 — invite clients & go live. Send the message template below, invite everyone to the Coach App, and set your Trainerize cancellation date a few days after — not the same day, in case anyone needs a hand.
Telling your clients
Clients don't need the backstory — they need to know what to do and that nothing about their program is changing.
"Hey [name] — I'm moving our coaching over to a new app called TrainerPanel this week. Same programs, same check-ins, just a nicer app. You'll get an invite by [date] — takes about 2 minutes to set up. Nothing else changes on your end. Questions, just ask!"
Send it once, a few days before the Coach App invite goes out — not the same day as the invite itself, so it doesn't read as a surprise.
