Guide · Switching, without drama

Switch from TrainerFu — the no-drama migration plan.

Not a sales pitch — a checklist. What to export before you cancel, a 7-day plan, a message to send your clients, and what you'll stop paying for once you're moved over.

Switching from TrainerFu takes about a week for most solo coaches: export your client roster first, rebuild your active programs in TrainerPanel's program builder, set up any recurring payment subscriptions fresh since they don't move with you automatically, then invite clients to your new Coach App with a short heads-up message. Nothing about the switch has to be dramatic if you do it in that order.

Start here

Should you switch?

TrainerFu caps how many clients you can have per tier — cross a cap and you have to upgrade a full tier — that's the usual reason coaches start looking.

This guide isn't the cost argument — that's a full, dated breakdown on the TrainerFu cost page. This guide is the practical part: how to actually move without losing client history, dropping a check-in, or leaving anyone confused mid-program.

The switch itself is not the hard part. Forgetting to export something before you cancel is the hard part. Do the steps in order below and neither happens.

01
Before you cancel

What to export before you cancel

Three things to pull before you cancel anything — miss these and you're rebuilding from memory instead of from a file:

  • Clients. Export your client list — name, email, and whatever plan/status fields TrainerFu offers. This becomes your TrainerPanel roster import.
  • Programs. We haven't verified TrainerFu's program-export tooling either way — treat it as unconfirmed and plan to rebuild. Note down your active programs' structure (weeks, exercises, sets/reps) so you can recreate them quickly in TrainerPanel rather than from scratch.
  • Payment subscriptions. The sticky one. Recurring billing tied to TrainerFu doesn't move with you automatically — note who's on what recurring plan so you can set up the equivalent in TrainerPanel and ask them to resubscribe.

One week, in order

The 7-day switch plan

  • Days 1-2 — export & import. Pull your client list from TrainerFu; import it into TrainerPanel's roster. Checklist: name, email, active/inactive status, current plan.
  • Days 3-5 — rebuild active programs. Recreate the programs your current clients are actively running — not your entire historical library, just what's live today. Checklist: weeks, exercises, sets/reps, any nutrition or habit components.
  • Day 6 — set up payments. Recreate any recurring membership or session package so billing continues cleanly once clients move over.
  • Day 7 — invite clients & go live. Send the message template below, invite everyone to the Coach App, and set your TrainerFu cancellation date a few days after — not the same day, in case anyone needs a hand.

One message, sent once

Telling your clients

Clients don't need the backstory — they need to know what to do and that nothing about their program is changing.

Copy-paste template

"Hey [name] — I'm moving our coaching over to a new app called TrainerPanel this week. Same programs, same check-ins, just a nicer app. You'll get an invite by [date] — takes about 2 minutes to set up. Nothing else changes on your end. Questions, just ask!"

Send it once, a few days before the Coach App invite goes out — not the same day as the invite itself, so it doesn't read as a surprise.

What you'll stop paying for

The add-on stack, gone

For the full dated cost breakdown, see the TrainerFu cost page — the summary here is qualitative on purpose.

On TrainerFu On TrainerPanel Pro
Client-count cap tiers Flat price — no client cap, whatever your roster
Branded app billed as a $75/mo add-on Coach App included in Pro; white-label available as a flat add-on

None of this matters if the switch itself is a headache — that's what the 7-day plan above is for.

Yes — they'll move from the TrainerFu app to your TrainerPanel Coach App. It's a one-time download and login, which is why the client message template and a short heads-up window matter.
We haven't verified TrainerFu's program-export tooling either way, so plan on rebuilding rather than waiting on an export. Recreate your active programs in TrainerPanel's program builder — most coaches find this faster than expected since they're recreating a known plan, not designing from scratch.
Recurring billing tied to TrainerFu doesn't move with you automatically when you switch platforms — you'll need to set up the equivalent membership or session package in TrainerPanel and have clients resubscribe. This is the part of the switch plan worth doing carefully, since it touches your revenue directly.
Most solo coaches complete the core switch — roster, active programs, and the client Coach App invite — inside a week using the 7-day plan above. Rebuilding a large historical program library takes longer if you choose to bring all of it over.
Depends on your roster size and what you value. TrainerFu caps clients per tier — cross a cap and you have to upgrade a full tier — and charges a confirmed $75/mo extra for a branded app. See the full cost breakdown on the TrainerFu cost page. If flat pricing with no client cap and an included Coach App matter more to you than staying put, switching is straightforward with the plan above.
